ROYALTY STORY No. 005
A New Enquiry to a Team Already Notified
How a connected lead alert workflow made sure a promising enquiry didn’t wait on someone checking a spreadsheet.

The Royalty Perspective
A promising lead can lose momentum in the time it takes someone to notice it. Technology should tell the team the moment a lead arrives.

It shouldn’t wait for someone to go looking. When a new enquiry depends on someone checking a spreadsheet, the organisation risks its most time-sensitive moment, the first response. We believe automation delivers its greatest value when it puts the right information in front of the right person the instant it matters, not sometime after.
The Situation
Every story should leave you understanding something you did not understand before.
The organisation had a simple way of capturing new leads. A Google Form collected every enquiry and logged it as a new row in a spreadsheet.
Read the story
On the surface, nothing was missing. Every lead had a record. Behind the scenes, the team only knew a lead existed once someone opened the spreadsheet and looked. Someone had to remember to check. Someone had to notice a new row among the old ones.
Someone had to decide who should follow up. Some leads were contacted quickly. Others sat in the spreadsheet longer than they should have, simply because nobody had checked that day. Nothing was lost through carelessness. The business had simply reached the point where a recorded lead was not the same thing as a lead the team knew about.
The Question That Changed Everything
Why should a new lead depend on someone remembering to check a spreadsheet?
We didn’t begin by asking, “How can we send a Slack notification?”
Read the story
We began by asking,
“Why should a new lead depend on someone remembering to check a spreadsheet?” That question changed the direction of the entire project.
The objective was no longer to send a message. The objective became designing a workflow that told the team the moment a lead arrived, without anyone needing to look for it.

Payment Automation System
Why should a successful payment still depend on manual follow-up?

Client Onboarding Integration System
Why should a new client’s first experience depend on someone finding the time to look?

AI Content Integration
Why should a logged idea still depend on someone finding the time to start it?

Lead Alert & Team Notification System
Why should a new lead depend on someone remembering to check a spreadsheet?

Customer Journey Design
A better client experience begins with understanding the journey.
What Became Clear
We are interested in what the work teaches, not just what the work delivered.
Capturing leads was never the problem.
Read the story
The real gap sat between a lead arriving and the team knowing about it. The form collected the enquiry, and the spreadsheet stored it.
Nothing told anyone it was there. Each part worked well on its own. None of them spoke to the team directly. Once that became clear, the solution stopped being about better record-keeping. It became about closing the distance between a lead arriving and a person acting on it.
What We Designed
Before we ask what to build, we ask what needs to be understood.
Royalty designed a Lead Alert and Team Notification workflow that connected the organisation’s enquiry form with its records and its team communication.

Every new enquiry now automatically:
- is captured the moment a lead submits the form
- is added as a new record in Google Sheets
- alerts the team on Slack as soon as the lead arrives
Technology Used
- Google Forms
- Google Sheets
- Slack
The technology itself was never the goal. It was simply the means of making sure a promising lead reached a person before it reached the bottom of a spreadsheet.
The Results

Operational & Organisational Results

Operational Results
- New leads were recorded without manual entry.
- The team was alerted the moment an enquiry arrived.
- Follow-up no longer depends on someone checking a spreadsheet.
- Leads no longer wait for someone to notice them.
- Fewer enquiries sit unattended between form and follow-up.
Organisational Results
More importantly, the organisation experienced changes that extended beyond the workflow itself. The team responded to leads with more consistency, regardless of who was watching that day. Attention shifted from checking for leads to following up on them.
Sales conversations started sooner, because the gap between enquiry and awareness had closed. The process became more dependable because it depended on a connected system rather than on someone’s memory.
What Leaders Can Learn
A story about one organisation can reveal something about yours.
Technology rarely transforms an organisation by itself. Transformation begins when a promising lead no longer depends on someone remembering to look.
Read the story
Many growing businesses believe they need a bigger sales team, a stricter checking routine or another reminder. Sometimes they simply need the systems they already use to speak to the team the moment it matters. This is part of a wider pattern we keep seeing across our work.
Royalty does not set out to automate a single task on its own. We look closely at what happens between tasks, because that is usually where opportunity quietly slips away. Automation works best when it strengthens a good process. When the right person hears about a lead the moment it arrives, leaders gain something more valuable than a tidy spreadsheet. They gain the chance to respond while it still matters.
Reflection
Sometimes the first step towards a better system is simply understanding the problem differently.
Before you invest in another tool, ask yourself one question.

Where in your organisation does a promising lead still wait for someone to check?
Sometimes the biggest opportunity isn’t adding something new. It’s connecting what you already have.
