ROYALTY STORY No. 003

A Logged Idea to a Finished Draft

How a connected content workflow turned a logged idea into a finished draft, without anyone chasing it.

Our Belief

The Royalty Perspective

A good idea shouldn’t need someone to remember it before it becomes real. Technology should carry an idea forward.

It shouldn’t leave that idea waiting in a spreadsheet. When content depends on someone finding the time to start it, the organisation loses more than speed. It loses ideas that were genuinely worth acting on. We believe automation delivers its greatest value when it moves a good idea forward the moment it is captured. That way, people can spend their time creating rather than coordinating.

The Situation

Every story should leave you understanding something you did not understand before.

The organisation had built a simple way to capture content ideas. Every idea, topic or request was logged in a spreadsheet as soon as it came up.

On the surface, nothing was missing. The ideas were there, written down and easy to find. Behind the scenes, each idea still depended on someone picking it up. Someone had to read the request.

Someone had to decide how to approach it. Someone had to write a first draft and then tell the right person it was ready. Some ideas moved quickly. Others waited for a quieter day that didn’t always arrive.

Nothing was lost through carelessness. The business had simply reached the point where a good list of ideas was not the same thing as a working content process.

The Question That Changed Everything

Why should a logged idea still depend on someone finding the time to start it?

We didn’t begin by asking, “How can we generate content automatically?

We began by asking, “Why should a logged idea still depend on someone finding the time to start it?”

That question changed the direction of the entire project. The objective was no longer to produce a document. The objective became designing a workflow that carried an idea from the moment it was logged to the moment it was ready for a human decision.

What should happen immediately after someone becomes a lead?

What Became Clear

We are interested in what the work teaches, not just what the work delivered.

Capturing ideas was never the problem. The real gap sat between logging an idea and doing something with it.

The spreadsheet held the request. A person had to supply the drafting. Another channel had to be checked before anyone knew a document existed. Each part worked well on its own.

None of them was connected to the next. Once that became clear, the solution stopped being about writing faster. It became about closing the space between an idea and a usable first draft.

What We Designed

Before we ask what to build, we ask what needs to be understood.

Royalty designed an AI Content Integration workflow that connected the organisation’s content requests with its drafting and communication systems. Every logged idea now automatically:

  • is read directly from the content request sheet
  • is turned into a first draft by an AI writing step
  • is saved as a formatted Google Doc
  • is announced to the team on Slack as soon as it is ready

Technology Used

  • Google Sheets
  • Google Gemini AI
  • Google Docs
  • Slack

The technology itself was never the goal. It was simply the means of making sure a good idea reached a draft before it reached the bottom of someone’s list.

The Results

A story about one organisation can reveal something about yours.

Operational & Organisational Results

 Operational Results

  • Content requests move into a first draft without manual handling.
  • Drafts are created and stored in one place automatically.
  • The team is notified the moment a draft is ready for review.
  • Ideas no longer depend on someone remembering to act on them.
  • Content coordination takes noticeably less back and forth.

Organisational Results

More importantly, the organisation experienced changes that extended beyond the workflow itself. The content team spent less time chasing drafts and more time improving them. Ideas that might once have been delayed now reach a first draft the same day they are logged.

Attention shifted from starting content to shaping it. The process became more dependable because it depended on a connected system rather than on availability.

What Leaders Can Learn

A story about one organisation can reveal something about yours.

Technology rarely transforms an organisation by itself. Transformation begins when good ideas no longer wait on manual coordination.

Many growing businesses believe they need more writers, another content calendar or another reminder system. Sometimes they simply need the systems they already use to work together the moment an idea is logged. This is part of a wider pattern we keep seeing. Royalty does not set out to automate a single task on its own.

We looked closely at what happened between tasks. That was where the real work quietly got lost.

Automation works best when it strengthens a good process. When systems support people instead of leaving gaps for them to fill, leaders gain something more valuable than speed. They gain ideas that actually get made.

Reflection

Sometimes the first step towards a better system is simply understanding the problem differently.

Before you invest in another tool, ask yourself one question.

Where do good ideas in your organisation still wait for someone to have the time?

Sometimes the biggest opportunity isn’t adding something new. It’s connecting what you already have.
